How do you all keep up with who moves in and moves out? Do you have to communicate with the title company? Does the title company communicate with you?

In Virginia, the Association would receive a request from the closing company for specific info (assessment amount, amount due, date of payment, etc.). When I completed the request, I would ask that the closing company forward the closing disclosure (used to be the HUD-1) or, in lieu of that the name and mailing address of the new owner. I mentioned that this is extremely helpful to the HOA to make sure paperwork is sent to the correct owner.

Every request was honored by the closing company.

Our MC does it based on needing docs from them before closing. Called an Estoppel Letter is some locales. But, that only works on a sale, not a rental and I know owners do not let us know on a rental (guesstimate of less than 10%), so the bottom line is we do not know who lives there.....LOL

Our township requires a new certificate of occupancy (CO) with every transfer of possession. Although it applies to rentals as well as sales, I've never heard of anyone getting a CO from the township when there's a new tenant.

Our main concern is the registered owner and that we can obtain by looking at County tax records which show the owners name and address and the owner is who we communicate with.
