I am a member of a board that has an email service owned by a former board member,we notice that our email correspondence is being leaked to homeowners. W e are in the process of switching to another service in the meantime. I am the president can i call a special meeting to shut this service down and start anew one? I have to keep asking for financial and email addresses of homeowners from 2 board members who were on the previous board. How do i handle this?

Probably too late to help. But here is how I would handle it. Go to gmail.com and create a new account with the name of your HOA. Name yourself PresidentYourLastName. This would give you mail to PresidentYourLastName@YourHA'sName.com. Then put in the newsletter that as of (pick a date) the old email address is dead and nothing should be sent there anymore and the new official temporary email address is PresidentYourLastName@YourHA'sName.com At the same time Google (and some others) offer discounted web sites to non-profits. Have the Board spend the money to get one. Make the President the Administrator. set up mail accounts. Secretary@YourHA'sName.com etc. Let them pick their own passwords. Then share Administrator access with one other trustworthy Officer.

You should re-evaluate how your doing HOA business. If your discussing things that you dont want "leaked" to the homeowners, maybe you shouldn't be discussing those things.

Stick to HOA business and keep it transparent to the homeowners. Hiding stuff will only get you in trouble down the road.
