I just got our meeting minutes from July (the last meeting we attended). The notes are severely inaccurate.

1. Someone asked about emergency access for the drive in gate. The board told them that there is a police Knox Box, my husband who is a police officer told them that was not the case, that there was one for fire, but not police. The board took note of this and said they would look into it. Last week we had to males (at night) pull the gate open just enough for them to sneak inside our complex, we called the police to report it. A few minutes later we went to check the mail and noticed the police waiting to be let in. We let them in with our clicker and went to talk to them, he notified us that we did not have Knox Box for them and asked if they could some how get a clicker. I since then sent an e-mail to the BOD Pres and the HOA Management Company, neither of them have responded to my question on the Knox box.

2. Someone asked about avilable parking spaces, the notes say they are not aware of any vacant spots. But the BOD Pres said that we have five open spaces and the board has dicussed selling them to homeowners. We told them we would be interested in maybe purchasing one.

Should these be corrected??

If you are a board member you can ask to have corrections made to the minutes at the next regularly scheduled meeting. If you are not a board member all you can do is tell the Pres you think there are some inaccuracies in the minutes. It's up to the board to determine whether or not the minutes are accurate and to make any amendments.

Since no action (motion) took place regarding these two points, then ther's nothing to correct except a bunch of he said/she saids - which should not be in the mintues anyway. IMHO - the minutes should have read:

1. Resident inquired about emergency access boxes at the drive-in gate. The president asked board member, Mr. X to report back to the board on whether there is both a fire and police boxes. No action taken.

2. Residen asked about available parking spaces. Pres. X said that there are five extra spaces and there has been discussion about selling them to homeowners. Another resident indicated interest in one of the spots. No action taken.

Both of these issues are now in the unfinished business category.

Bring them both up at the next meeting.

Hi thanks for the replies. I am not on the board, but I will bring them up at the next meeting. The issue of the Knox Box is a huge one to me. Also, I find it interesting that they "closed" both issues based on the notes when they were both unresolved. If they want things to get done around her and residents to be happy and thus participate in the meetings they should label things correctly so attention can be paid to them as needed.

Then ask your favorite board member to put them both on the agenda under "Unfinished Business".

They DO need to be resolved, so don't let them just fade away . . .

You may have to keep bugging the board to make a decision on these.

Make sure it is in a motion, so there is some action behind them.

Good luck. I hate it when things don't get done because the board does not want to do the work or confront the issue.

I e-mailed our HOA manager again yesterday and he has not replied so I just called and spoke to his assistant who was no help. All he could tell me is that the Security gate is on the agenda but not specifically the Knox box. He suggested I bring it up at the meeting, which I will. I tried to explain that while it’s great that these things get brought up at the meetings it would be better if accurate notes were taken so that issues could be followed up as needed like this one. We have brought this up two times since the gate was installed five months ago. It’s a huge liability and should be taken very seriously…

So we had our HOA meeting last night, we sat through over an hour of there part of the meeting before the session open to homeowners. When we finally got our turn my hubby went to bring up some repairs needed and he was told the list the HOA PM already has is pretty long and that we should just e-mail it, which I thought was rude, but we understood.

I brought up the reserve fund's they have about three times as much being put into the painting reserves and the plumbing reserves so I mentioned that we should put more towards the plumbing reseve since they know we have huge plumbing issues.

I also brought up the Knox box. The PM was so stubborn and would not listen. His solution was to give two clickers to the Sherrif's department. We suggested they just get a knox box like everyone else in case one of the deputy's doesn't have the clicker (we are an incorporated city which means we don't have a lot of patrol cars on duty at one time). So he said, well the police can just use their strobe light to get in, but police car's don't have strobes. My H is a police officer so he knows how this works and has to deal with these issues every day!!! I again suggested they make it standard because if there is an emergency we want the police to be able to come in as quickly and conveniently as possible. He said he was concerened with the gate being left open when they left!!! What! I mentioned them getting in here is way more important then them possibly leaving the gate open when they leave.

Anyone else feel like they have to pull teeth to get there PM to do their job? The board even went so far as to tell me I should have e-mailed my concern to the PM, which I did three times and called twice! Phhheeeewwww...

They also mentioned that we have been paying $300 a month for four years for a recycling program that we don't have because the company hasn't brough us the correct containers for this...yet he keeps paying the bill because he doesn't want to make them upset and never bring the containers.

First of all, the reserve study should show how much money should be earmarked for each project.

IMO, you don't have a problem with your PM, you have a serious problem with your board. THEY should be telling the PM what needs to be done, not the other way around. The PM can make recommendations, but, ultimately it's the boards resp. to see that things are done properly. As long as the board is willing to put up with this, there is nothing you, as a member, can do about it. IMO, you're just putting your frustrations and anger on the wrong person(s)!!
