I pay for redacted board packages, which one or some think is evil of me. Can they xerox my check (under $30), can they put a copy of it in the board package? I feel this puts me at greater risk of identity theft. Also, on board minutes they mention me by name when they refer to me in the negative, however, they do not mention anyone else by name, others are referred to as "resident". Can you provide me any law about xerox of checks/signatures for no purpose?

The copy of your check MAY be your receipt for your payment.

Minutes should not contain opinions, statements not connected to a motion, gossip, so I'm not sure why your name is stated there, especially "in the negative.'

Any disciplinary issues covered should be in Executve Session minutes, which are private to the Board's records. Why don't you ask the Board secretary to explain these issues to you.

I have absolutely no opinion one way or the other regarding whether it is "evil" or not for you to pay for "redacted board packages" since I have no idea what that is nor why you would want it.

Regarding the minutes, this forum has entertained discussion before on what is and is not to be in minutes, however, it's also quite obvious that many boards use their own guidelines, especially any that do not strictly adhere to Robert's Rules.

Regarding your check being copied and placed in the "package," unless it contains your social security number, which few do anymore, then they can certainly make copies of any instruments they receive for payment and keep that as part of the permanent files. If it DOES contain your SSN, then I would simply request that they "redact" that information before placing the check copy in the files.
