We have a community of 436 homes. We have a large clubhouse with 1st floor consisting of a bar area, fireplace, large TV room, an arcade room, and a meeting room - the 2nd floor has a child's play area, 2 locker rooms, a suana, a rather large aerobics room and a smaller room housing workout equipment (equipment is appox. 15 years old). Our budget for 2007 has set aside $40,000 for upgraded equipment (to include new stuff and the maintenance of it). The workout facility is greatly utilized by our residents.

My question is for HOA's who have workout facilities: How many machines do you have? What is the size of your community? How many machines are considered too many?

Reason for question: A presentation made to the Board by 4 residents last nite asked for 16 new Nautilus machines. The presenters want a machine for each major muscle group, and many new cardio machines. They also want the "aerobics room" (which is multi-purpose, bday parties, dance lessons, yoga classes, kiddie groups) to be used for the new machines and relegate the multi-purpose users to the smaller room currently used as the "workout room". Basically trade one for the other. Just as a side note, the smaller room is too small for many of the events currently held in the "aerobics room" and there is no fee for the rental of the room.

Before any decisions are made I want to perform a study within our community for the best usage of all the available rooms. Get a consensus more or less. Has anyone been involved with a similar situation, and how did you handle it?

I want to be able to provide our community with a solid and documented justificaion for the Board's decision, whatever that may be.

Did the 4 residents who made the presentation survey your community for its usage of the current machines and find out what residents want, or is this simply their own preference? If a survey has not been done, it would be worthwhile for the Board to do its own (after thanking the 4 for their input) to see what the majority of the community would like, with regard to the variety and type of machines.

Also, a machine for each muscle group - I'm not sure if that's excessive or not...could several machines that treat all muscle groups be sufficient? If those machines will force the change of rooms and thereby make a good multi-puropse space unavailable to other owners, that would be something for the board to consider. Also, does the aerobics room get much use for exercise, and when it does, is it full? Would moving aerobics to a smaller space cause the HOA to schedule more classes, and if so, would that raise costs for an instructor or class director?

I know it's a lot of questions, but you are talking about some major changes to your facility; it would be important for the board to have a lot of member input before making such a decision.
