Our POA has approved new hardware & software. Where do we start? I have spoken with other POA's in the area and it seems we have the most advanced system. However, our system is DOS, very outdated, and not user firendly. We have 1400-1500 residents, maint. fees, letters, title company searches, accounting, newsletter, etc. any ideas on the latest programs would be appreciated.

Just Google "hoa software" and you will get lots of info on up to date HOA software from many sources.

You might want to consider two systems one for accounting and one for everything else or just use Word and Excel for maintenance and letters etc.

There is nothing wrong with DOS. If the software does what you need it to do, and works great you might want to keep it. I know companies who still use DOS for complex projects.

Your DOS software is proubably rock solid. The new software you buy will proubably not be. Many of these companies who make specialized software for niche markets like HOA associations will actually charge for bug fixes and updates. They also charge $$$$ tons of money for telephone and email support. It all adds up so quick.

Chances are, your old data will not import to the new software without $$$$ lots of money for someone to manually adjust it and import it. This can take a long time which is why database people charge by the hour. The cost of having someone re-work your database will proubably cost more than the new software your purchasing. So factor that into your decision to buy new software.

I recommend, keep the DOS software but buy new hardware. It would be a shame to loose your data due to old hardware failure. Maybe use the extra money you were going to spend on software to get a 2nd computer for the other functions like newsletter, internet, etc. Keep your accounting computer off the internet (virus/keylogger/data loss/etc).

You'd better be careful here. I have some DOS software that I've use for many years but after I purchased a 64 bit machine using Vista Home Premium, it just will not work. Think it's because of the 64 bit and not the Vista but am not sure.

Vista 64 bit has a compatability mode that WILL run 32 bit software.

Can't tell you exactly how to access, but, it IS there.

tops IS THE BEST WE HAVE OVER 21 YEARS TRIED EVERYTHING UNDER THE SUN BUT WE TELL OUR mc WE WANT TOPS IT IS SELF CHECKING AND DOES EVERYTHING YOU ASK FOR IN YOUR MESSAGE. iT IS USED BY ALMOST EVERY hoa IN OUR CITY ASSOCIATION OF 67 hoaS AND 29 cONDO bORDS WE HAVE STARTED A CITY WIDE GROUP Sorry about the shouting did not realize I had caps on. The beauty of TOPS is that it comes with all different things that you can add to the basic software to add other things. Our community website data to the BOD comes to us via TOPS and the internet. It is theft proof and you can mody it to do your budgets with. Or you can make up your own useing Microsoft Excel send me an email and I will send you a finished excel spreadsheet that I have used for the past 14 years. A side benefit to the BOD is you can have your MC set you up with a monthly package with copies of the income outgo and it shows on 1 page budgeted amount actual used amounts as well as year to date spent versus budgeted its outstanding I would never ever be a Treas with out TOPS IMHO. PS Our monthly dues are 105 started at 25 22 years ago................

Our company does not use TOPS but I know of several management companies in town that do. We use Skyline for the accounting funcitons and simply Word or Excel for all other functions.
